Role

The Team Assistant will organize and coordinate office administration and procedures, in order to ensure organisational effectiveness, efficiency and safety. The Team Assistant will be the liaison between the office and our facilities partners. The primary responsibilities revolve around ensuring high levels of excellence in the daily operations. Scope includes facilities management and upkeep, inventory control, administrative, including HR operations support and travel support in an efficient, timely and professional manner.

Responsibilities

We are searching for a personable, motivated individual who possesses a high level of attention to detail and a spirit of excellence. You will be an integral part of the support team with frequent interactions with both senior management and House members.


Key responsibilities:

  • Diary management and travel coordination
  • Office facilities management and upkeep
  • Petty cash management and invoice processing
  • Event planning and coordination
  • Managing stock control and inventory checks
  • Ensuring that health and safety regulations are followed
  • Documenting procedures for third-party monitoring
  • Creating and monitoring office projects and improvement initiatives
  • Maintenance of administrative documents
  • Provide leave cover for Operations Assistant / Barista
  • Support the day to day HR operations
  • Assist HR team in pre-boarding, on-boarding and off-boarding Contribute to ad-hoc HR projects, as needed
  • All other assigned tasks as and when required


Requirements

The successful candidate will ideally possess the following traits:
  • Prior experience with professional or service industry will be a plus
  • Strong office management skills
  • Work effectively with modest support and guidance
  • Equipped with excellent communication skills
  • Capable of handling sensitive people matters
  • Good analytical and problem solving skills
  • Hands-on with can-do attitude

Administrative Details

Start date: Immediate preferred

Compensation: Competitive base salary

Benefits: Medical insurance; 21 days annual leave

Education: University Degree

Experience: 8 to 12 years of operations or administrative experience

Languages: Excellent command of English

Reporting: Reporting directly to the Head of Human Resources

Travel: Based in Singapore
